ENAR BUSINESS MEETING MINUTES

  1. Welcome

    Past President Peter Imrey welcomed all and opened the meeting.

  2. Approval of Minutes — Spring 2006

    The minutes from the ENAR Spring Meeting 2006 Business Meeting were approved pending any minor corrections sent to Lance in the next two weeks.

  3. Treasurer's Report (Handout)

    ENAR Treasurer Oli Schabenberger reviewed the Treasurer's report noting that while revenues from exhibits, ads, and sponsorship for the Spring Meeting continue to do well, expenses have been rising rapidly, especially with respect to food and beverage costs and (to a lesser extent) printing and mailing costs. The issue has been discussed extensively by both the ENAR Executive Committee and RAB/RECOM with the following specific recommendations:

    • RAB/RECOM voted to increase meeting registration to $225 (member, early bird)/$265 (member, late)
    • Eliminate the second (paper) mailing regarding the spring meeting.

    Discussion: Attendees agreed that registration costs should cover meeting costs and that we should make efforts to keep break food for the Spring Meetings.

  4. Executive Director's Report (Handout)

    ENAR Executive Director Kathy Hoskins reported a current (paid) membership of 1676, following a fourth mailing reminding members behind in payment. Linda Young asked about response rates for the reminder mailings. Kathy reported a return of a little less than one-third for each mailing with the fourth email resulting in approximately 60-70 additional payments.

    Linda Young noted that WNAR, IMS, and ASA are all reporting increases in membership, primarily due to free or reduced-price student memberships. Tim Gregoire noted that he pays for ENAR membership for his students and suggested an advertising campaign along those lines. Linda Young reviewed additional initiatives by the ASA and suggested ENAR monitor the progress of such efforts and implement similar initiatives.

  5. Meetings Reports

    ENAR Executive Director Kathy Hoskins reviewed future meeting sites (2007 Atlanta, 2008 Crystal City, 2009 San Antonio). She also noted that while attendance was a bit lower in Tampa than in Austin, the meeting was successful.

    Lisa LaVange (ENAR President Elect) reviewed that status of the 2007 Spring Meetings in Atlanta, noting several nice features of the meeting space (good acoustics and a nice technology room for tutorials). The meetings will feature 5 shortcourses and 3-5 tutorials. Tony Lachenbruch noted that no shortcourses or tutorials involved forestry, ecology,or the environment. Amy Herring (Program Chair) gave a brief synopsis of the invited program, noting several environmental-themed sessions.

    Lisa LaVange reviewed two options for the Tuesday night event, the first at the Carlos Museum at Emory University involving access to the museum's historical and art exhibits, a sit-down dinner, and jazz music. The second is a dinner at the City Grill, a former Federal Reserve Building, again with jazz music. The second option is within walking distance of the hotel (approximately 7 blocks), but the first involves a 30 minute bus ride. A straw vote at RAB/RECOM was equivocal and Lisa called for a straw vote among business meeting attendees. The City Grill won a clear majority.

    Jane Pendergast (ENAR President) briefly reviewed the status of the 2009 Spring Meeting being a joint ENAR/WNAR meeting. Based on WNAR membership size (between 300-400) and typical meeting attendance, we should not expect a large influx of WNAR attendees. The ENAR Executive Committee met with WNAR President Chris McLaren and outlined general issues to resolve for such a joint meeting. Primary issues include some sort of cost-sharing arrangement, most likely along the JSM arrangement with a fixed amount agreed on based on some threshold total revenue amount. WNAR typically splits revenue with IMS, but ENAR does not. WNAR members will be incorporated into the Program Committee and there will be a single President's Invited address (agreed upon by the ENAR and WNAR presidents). The student paper competition will require some coordination as the WNAR competition involves evaluation of oral presentation as well as the written paper. These issues will be resolved as the officers for the 2009 meeting fall into place with next year's election.

    Jane Pendergast reported that IBC 2008 will be in Dublin, Ireland in mid-July, and IBC 2010 will be in Brazil in either September or December.

  6. RAB/RECOM Report

    Jane Pendergast (ENAR President) reported that RAB/RECOM discussed (and RECOM approved) placing job ads on the ENAR website, noting that Kathy Hoskins knows of other societies working with Drohan and Potomac Digitech who have set similar initiatives in motion for small cost. Linda Young suggested applicants be allowed post CVs, and clarified that access would be limited to members only.

    Jane Pendergast also reviewed discussion from the ENAR Executive Committee and RAB/RECOM regarding development of conference call roundtables/webinars as an educational service to ENAR members. Topics could be Q&A with experts, or similar to current Spring Meeting Tutorials.

  7. IBS News

    Jane Pendergast announced that Tim Gregoire is serving on the IBS Communications Committee with an initial charge to consolidate the IBS and ENAR member numbers so allow database linkages.

    Jane Pendergast also noted that IBS is currently looking for nominations for Vice President (rolling to President) and Treasurer. All nominations should be sent to Chris McLaughlin (WNAR President) who is heading the search committee.

    Jane Pendergast reported that IBS is likely to raise dues this year and reviewed the new sponsoring membership option.

  8. Open Discussion

    Floor discussion addressed possible ways to recognize members at the Spring Meeting through "Member" labels on name tags, a new members reception, honoring long-time members. Elizabeth Margosches mentioned the idea of having well-known long-time members "seeded" among tables at the student breakfast and/or tables at a new members reception.
