ENAR BUSINESS MEETING MINUTES

  1. Welcome and Introductions
    Lisa LaVange

    Lisa LaVange (ENAR President) welcomed attendees and opened the meeting.

  2. Approval of ENAR Business Minutes — JSM 2006

    The minutes from the ENAR Business Meeting at JSM were approved, pending any minor corrections to be sent to José Pinheiro (ENAR Secretary) within the next two weeks.

  3. Treasurer's Report
    Oliver Schabenberger

    Oli Schabenberger (ENAR Treasurer) distributed his report based on pre-closing as of Dec 31, 2006. Several items were noted:

    • ENAR's net revenue decreased by $16K in 2006, compared to 2005. Taking into account the move of the Spring Meeting from New Orleans to Tampa, which resulted in lower attendance and revenue, the results can be considered good. ENAR financial situation is solid.
    • Due to a combination of record attendance and excellent discounts on food and beverage (F&B) negotiated by Kathy Hoskins (ENAR Executive Director), this year's Spring Meeting is likely to be highly successful financially. For future meetings, need to keep control over F&B costs.
    • ENAR investments have been consolidated in one institution (Smith Barney): four staggered CDs and a money market account.

    A resolution was passed at the RECOM meeting to drop the informal policy of having a target of 150% of operational balance for the expense fund. Instead, the Treasurer will evaluate the financial impact of not having the Spring Meeting in previous year and that estimate should be used as a reference for the target expense fund balance.

  4. Executive Director's Report

    Kathy Hoskins provided updates on the different topics below.

    1. Atlanta meeting update
      • 1145 registrants (not final) - largest number ever.
      • All, but two of the round tables were sold out. (break even)
      • 252 people registered for short courses, 165 for tutorials (numbers can still increase).
      • Social event almost sold out (165 people)
      • Exhibits sold out (33 tables)
      • 43-44K sponsorship revenue, 4 adds in program book
    2. Membership report
      • 175 - 180 new members since last meeting.
      • Number of renewals about 5% higher than this time last year.
      • 1675 members (as of end of 2006).

      The ENAR Executive Committee has proposed to form a membership taskforce with the goals of putting together a brochure describing the benefits of being an ENAR member, and to come up with other ideas of how to increase the membership. Volunteers needed.

  5. Report on 2007 Spring Meeting — Atlanta

    First time that some papers were involuntarily converted to posters, because of lack of space in the program for presentations. A record number of 83 posters displayed at Sunday's mixer (historically 15-20), 22 of which involuntary converted from papers. It is likely that this will remain a problem in future meetings — issue has been discussed at RAB and RECOM meetings. Program Committee for 2008 Spring Meeting to explore alternatives and decide.

    Because of the record attendance, we ran out of program books for this year's meeting. Copies of the program in CD were provided to those who could not get the program book at the meeting. For future meetings, it is being considered to have the abstracts available in digital media only (CD or memory-stick). ENAR President-Elect, Rocky Feuer, to decide for 2008 Spring Meeting.

    Scarlett Bellamy, RAB Chair, reported that this year's Diversity Workshop was the most successful ever: 70 people pre-registered and 60 attended the meeting. It was not only a large, but also diverse group: 10 high school students, 15-20 undergraduates, and about 20 graduate students. Planning to do it again at next year's Spring Meeting in Crystal City.

  6. Future ENAR Spring Meetings
    1. 2008 — Crystal City, VA (Mar 16-19)
      Rocky Feuer
      Program committee is complete. Suggestions for short courses, tutorials, and roundtables should be sent to Rocky.
    2. 2009 — San Antonio (possibly joint with WNAR)
      Jane Pendergast
      Logistics still need to be worked out, including potential sharing of revenues. Need to clarify if WNAR will have this as its only meeting. Lisa to follow up with Ken Burnham (WNAR president) to clarify expectations and logistics.
    3. 2010 — Site selection
      Kathy Hoskins
      Being considered: Baltimore, Philadelphia, Boston and New Orleans. Need to have better idea about growth plans (posters, etc) before making a decision - will delay until June (Crystal City site visit).

  7. International Biometric Society (IBS)
    Tom Louis (IBS President) reported that he and Andrew Mead (IBS Vice-President) have visited/will visit several regions (Nordic, German, Brazil, Central America) to strengthen links with IBS. Preparations for the XXIV IBC in Dublin, Ireland (July 13-18, 2008) proceeding well and according to plan. All asked to promote it.

  8. Open Discussion
    • Abstracts for 2007 Spring Meeting will be made available on ENAR's website.
    • Linda Young suggested to make calls to people who have not renewed their ENAR membership, in a effort to improve retention. Jane Pendergast (ENAR Past-President) made the suggestion that ENAR should find ways to facilitate the creation of interest groups of members, as an added service to the membership.
    • The Young Researchers grant is up for renewal and there are ongoing discussions on getting additional sponsors. The workshop will take place in the 2006 Spring Meeting.
